Streamline Infinity
Infinity can be implemented in a variety of ways but also comes with default settings, some of which may be unnecessary to your business. Below include some areas you should consider, to streamline and switch off areas of Infinity or shortcut an unwanted process.
Streamline Placement Process
A video demonstrating:
- Adding Job, using note template
- Copying an old Job
- Manually adding candidate to shortlist (optionally log interested, log CV submitted, log interview (which confirms immediately)
- Skip offer process and place immediately
- Autofill Note fields in records
- Skip Offer Accepted, Awaiting Confirmation in placements
- Starting placement (this can also be automated)
- Just place a candidate, no logs, no drama (2 clicks, enter name, select, 2 x clicks, done)
Admin Setup
Setup drag and drop compliance files in Outlook to quickly record Q&C information and attach to records,

Autofill Note fields in records -any note / comment / summary text box can have content automatically added when making new records, this enables you to customise records to include content you require. For example, add a checklist in placement records for users to make comments into and this could then be used to populate a confirmation email using merge codes.
Automatically apply CV branding when adding via iCapture - iCapture administration includes an option to apply a CV builder to all CV's processed through iCapture. Users can still apply an alternative CV builder if required but should save time branding CV's. Consider add a header and footer CV builder to Infinity that can then be applied to all CV's, saving users additional steps when preparing a CV for submission.
Setup Click to Call - Infinity includes some telephony software integrations but it also includes the ability to work with most softphone systems by a click of a button. If you have a phone system that has software you use on your computer (ie. has a dailer on your computer) then it is highly likely that it will work within Infinity, saving time trying to type in a number into your software or handset.
Skip Awaiting Confirmation in Interviews - Infinity is designed to follow the steps a recruiter follows, like setting up an interview and then confirming it but often this just feels an unnecessary step, so you can set Infinity to automatically set the status of an interview to confirmed once saved, business rules will still run and need to pass but fundamentally will reduce the need to then log confirmation.
Skip Offer Accepted, Awaiting Confirmation in placements - Infinity is designed to track the steps of placing a candidate, the offer, the candidate accepting the offer, awaiting confirmation of contract, the signing of the contract (confirmed). However, in some environments this step by step approach is unnecessary so you can set placements to automatically confirm, business rules will still need to pass but takes out 2 of these steps and offers a shortcut.
Automatically Start candidates on Start Date (Perm, Contract, Fixed Term only) - (NB: - Temps are assumed as started for confirmed shifts) - Infinity includes a facility to review placements that are due to start today, users can use this to check in their candidates. However, if users do not need to complete a check in then you can set Infinity to automatically start placements on start date, this will update the placement status and candidate status without anyone needing to action the system.
Scheduled Automated Comms
- automate emails sent to new candidates - setup automated email to go to every candidate added to Infinity using scheduled automated comms, a great way to instigate your on-boarding process.
Global Quick Steps
Setup Quick Steps to automatically send emails specific to event action - setup systemwide automations, so when a user logs a particular event the system sends out an appropriate email. For example, cold call event logged against contacts, the system opens the comms centre and selects your brochure email, ready to be sent. You can setup Quick Steps by user, see below. You can even set your quick step to send it out without review.
User Setup
Auto find records after 5 letters in find screen - Find controls can be set to automatically run after a number of letters are typed, depending on the amount of records you have within Infinity you can set that find starts displaying records in the find results after a few letters are typed. It is recommended that you set at least 4 letters but is a quick way to avoid having to press find or enter.
Setup Auto Searches - Infinity includes a facility to continuously review candidates being added or edited in the system and alert you to a candidate that fulfils a search criteria. In addition, you can add speculative jobs to Infinity, often a 'dummy' job against yourself (all users are a contact within Infinity). A great way to ensure you are aware of talent being added to your system.
Use iResearch to download applications direct to iCapture - iResearch is Infinity's in-built lightweight browser, which includes the ability to send downloaded or saved files straight to iCapture, If you download CV's from a job board, LinkedIn, One Drive or any online storage this can avoid numerous clicks and delays in getting the candidate into Infinity.
Use Recently Viewed items - The main menu (application menu) you will see you have access to the previous 10 records you have accessed, this can be set to 35 records (via user options) and enables you to return to a record you have been working on.
User Quick Steps

Other Notes
Attend webinars - lookout for topics that relate to your use of Infinity, ask questions from an expert, fully understand the functionality on offer. A little investment of time will soon be returned by efficiencies you will gain.
Infinity API (SaaS only) - utilise Infinity's API to send data directly into Infinity, for example a registration form or a portal for candidates to upload compliance documents.
Reports and Voyager BI (SaaS only) - Utilise a suite of reports available within Infinity, use Voyager BI to design your own reports, create a performance monitor for your office TV.
