Back office sectors / Currencies Administration

General

Back Office sectors and Currency administration is managed via a wizard that enabling you to create Back office sectors, divisions & departments and currencies and currency conversion rates.

The back office sector identifies which basic area within your account system revenue should be allocated.

For example; if you have two separate businesses that are accounted for separately, you will have two back office sectors. These can then filter into different accounting systems.

Within these sectors you can split revenue into divisions and departments. These are likely to be in line with your nominal codes in your account packages and should be set up accordingly.

Select Application menu, and Back Office Sectors / Currencies.  The wizard will launch:

Follow the instructions on screen

 

  • Select

 
  • Existing Back Office Sectors will be displayed.

 

  • Each Back Office Sector is assigned a Base Currency.

 

  • Back Office Sectors can be made active or inactive using the Active tick box

 

  • Edit an existing Back Office / Base Currency entry by selecting and clicking

 
  • To create a new back office sector, click Enter a Back office sector name. This is a short field. You may need to abbreviate
  • Enter a description. This could be the full name of the sector / company
  • Choose the Base currency. This is the currency that you want to exchange any currencies into and is the usual currency for this sector.

  • First select the Back Office Sector from the drop down list

 

  • Any existing Divisions and Departments will be displayed

 

  • Divisions and Departments can be made active or inactive using the Active tick box.

 

  • Add a new Division by selecting

 

  • Enter the Division name and click

 

 

Add a new Department by selecting

  • Enter the Department name and click
  • Select move onto Currencies administration

Currencies

A list of existing Currencies will be displayed.

  • These Currencies can be used in the various money fields throughout Infinity
  • Currencies can be made active or inactive using the Active tick box
  • The ‘Show Inactive’ tick box will display all inactive Currencies
  • Select to move onto Currencies Conversion Rates administration

Currency conversion rates

 

The Conversion Rates grid displays the currency rates historically.

 

Infinity will not track any external source for currency conversions, so it’s important that you make sure that this information is kept to up to date.

Suggestion – Make an internal procedure to update the conversion rates on a regular basis.

  • Create a new currency rate conversion by selecting a from and to currency
  • Enter the value of the rate and when it is effective from
  • Select and the new conversion rate will be added to the list
  • Select to continue
