Voyager Business Intelligence
General
Voyager Business Intelligence has been developed to support clients in visualising their data, interrogating on the fly and getting to grips with your business.
The Business Intelligence Portal is a browser-based interface that displays rich Key Performance Indicators allowing you to track how your business is performing.
You won’t need any third-party licences or subscriptions, and there are no additional charges from Voyager to access our standard reporting set.
NB:- Voyager Business Intelligence is implemented for SaaS clients only, if you have Infinity On Premise and would like to discuss implementing this type of reporting solution then please contact Voyager Customer Relations
Prerequisites
- Only an Infinity user with DB Manager permissions can initiate the set-up process.
- You will need your unique database code (known as a Voyager Instance Code or VIC) to complete the set-up. If you do not know your VIC, please contact Voyager before attempting set-up.
- If you have multiple Infinity SaaS databases, you will need to access the portal as a DB manager for each of these databases to allocate permissions.
Provisioning the reporting platform for the first time
(1) Enter https://bi.vslcloud.com in your browser
(2) On the login screen:
Step 1 – Enter your Infinity username (must be a DB Manager)
Step 2 – Enter your Infinity password
Step 3 - Click the cloud icon and enter the VIC of the Infinity SaaS database you are connecting to. Once a VIC has been entered the Instance entry field will be set with your database. In the case where you have more than one Infinity SaaS database, you can click the down arrow and select the database that you are accessing.
Step 4 - Click the Login button
(3) If the username, password and VIC are correct the portal will start the provisioning process
PLEASE NOTE:- It may take up to five minutes to complete the steps required for the provisioning, but you will see what step the process is on as this happens. In the unlikely scenario that it fails, a diagnostic message will be displayed – please provide this to the Voyager support team so they can assist.
The provisioning process is only needed for the first time and subsequent logons will take you directly into the portal.
(4) All users in the provisioned Infinity database can now access the portal and will see their report as shown below
If the VIC has more than one database associated with it, you will see multiple reports and the dataset column will help you identify which database the report is linked to.
By default, no Infinity user can open and view a report yet, including the DB Manager. The DB Manager will have to click the ‘Permissions’ button to select which users in the database(s) have ‘View’ permissions. (5) To specify that a user has View permissions, simply click the dropdown list on the required row in the view and choose ‘View’. This change is saved immediately, although the user may need to log out and back into the portal for it to take effect.
Voyager BI includes the facility to create your own reports and then set permissions for which users who can view or manage the reports. You can create as many reports as you require, if you wish to setup a couple of reports for users, you can delete all unwanted reports and then set view permission for users. Some examples of custom reports:
Speak to your account manager if you are interested in an introduction to Voyager BI, training or for custom reports to be added.
Infinity Report
To enable the ability to create your own or edit a report you will need to have 'manage' permission. The Infinity Report is not editable, you can use the save as function to save a copy of this initial report, save with a custom name. Once saved, set your permission to this report to 'manage', allowing you to then edit this new custom report. Custom reports are editable, only the 'Infinity Report' is locked.
The initial user must be a dbmanager to allow you to set permissions to the Infinity Report.
NOTE: - Any future changes made by Ikiru People development will occur within this Infinity Report, so once you make a copy the model and setup is set to that model at the time you took a copy.
The fundamentals of Voyager BI is that it uses Power BI, a Microsoft application that is hosted within our own portal. Ikiru People have created the model, setup the fields and the default reports for you to get started.
The fields are displayed on the right hand side of the edit screen and are in folders of fields. There are two types of folder, the top 6 are 'measures' and the remaining groups are tables.
Measures
Measures are calculated data, using formula that calculate the output. These are usually designed to work with the calendar and either the user, team, job, placement tables and usually labelled to indicate which table they are designed to work with.
Tables
These are core fields from you Infinity system, most are just directly fed from records, although there are some fields that have some calculated values, for example revenue values are often calculated to a daily value, this ensures that they work with date slicers, so when viewing a month or week it correctly displays the appropriate amount.
Visualisations
There is a comprehensive library of visuals available, you can find details of how each visual can be used via Microsoft Learn
As we have preset the Power BI model in the portal there is no facility to add any custom visuals to your Voyager BI.
How does it work if I have more than one database?
Where customers have multiple Infinity SaaS databases the portal will allow users from each database to view, where permission is granted, the reports for other databases. This makes it easy for managers and team to easily view performance across the different databases without having to log in and out of different portals and databases.
Can I edit the standard reports?
You can easily adjust the filters and drill into data. However, it is not possible to add new visualisations or build your own reports. If you are interested in additional reporting please contact your Voyager Account Manager so that we can review and quote for custom reports as appropriate.
Can I report across Infinity and Mid-Office?
Currently not possible, we hope to add this functionality in the future.
Can I use the feature if I am not using Voyagers Infinity SaaS delivery platform?
Currently not supported but we hope to add this functionality in the future.
What do I need to access the portal?
All you need is a supported Internet Browser: Chrome, Edge, Firefox*. We not currently support mobile or tablets.
*Support browser versions: Chrome 71.0.3578.98 or later, Edge 42.17134.1.0 or later, Firefox 65.0.x or later
How are Revenues calculated?
Totals have been calculated using the dates, splits, rate details and fee amounts. Several assumptions have been made which include 5-day week, 7.5 hours a day etc… more details can be found via the technical document which can be accessed via the Information link (bottom left) of each report.
Core data date ranges?
Please review section 5 of the technical guide (click on the Information button accessed in each report – bottom left) which details what data is retrieved from your system. Due to this you may find older content is not displayed or in some cases some individual content is not displayed (for example, job titles in placement locations). It is being reviewed and the boundaries may be changed in future releases.
