Trouble Shooting

GENERAL  
I am unable to log in to Infinity, it asks me to "Confirm username and password and try again"

Either the username or password has been incorrectly entered, you system administrator is able to reset your password

Note:- User profiles (accounts) will be made inactive if unused for more than 45 days, DBManager can reactivate a user but they must log in to complete the reactivation. DBManager is notified of inactivations via Connectivity Centre.

The "My Infinity" panel is empty

You are able to add any areas to the "My Infinity" panel by right clicking and ticking the appropriate areas

You can also setup you "My Infinity" panel from the user options

I have removed or unable to see "My Infinity" and / or "My Favourites" panel(s)

To return or reset the "My Infinity" panel you can go to the User Options area, within the display tab, you will see the Reset Panel button, once confirmed will put the panel on the left hand side of your screen

You can also Reset Panel and Toolbar from the Application Menu, Panel / Toolbar Layout, clicking on Reset Panel / Toolbar layout this will also reset your Quick Access Toolbar back to the default

You also have the option to Toggle MyInfinity and Toggle My Favourites Panels from this area

My colleagues grids / tables look different to mine Infinity allows you to add your own choice of columns into most grids / tables, right click within the header bar and select the column chooser and drag and drop these into the appropriate header area, see grids / Column views section for more details
Session Timeout after 30 minutes If Infinity has not been used in 30 minutes, then the session will timeout and you will be required to input your password again, to continue using Infinity.
My Infinity is not showing my interviews / offers / starters / finishers My Infinity review list and to be confirmed sections are set to remind the creator of the job, so if you are taking over another users job then they will get the reminders. Utilise the information boards to access interviews and set task reminders manually within the job or placement record. Alternatively you could ask for the job creator to share their My Infinity access so you can monitor their review list and to be confirmed sections
Candidates showing as "Deleted Deleted" in lists / reports / My Infinity This is due to a candidate record being deleted, the system will anonymise candidate records that are deleted, rather than hard deleting the record, this ensures dashboards, reports and historical activities will continue to function
DASHBOARD  
It is not showing any figures within the Average Contract Rates or Actual Contract value Ensure you have recorded the duration and hours of the contract into the placement record
I wish to view my Team or Company Dashboards Dashboard settings are within your user options \ Dashboard, however you will require appropriate permissions to access either the Team and / or Company Dashboards, speak to your system administrator for more details
Revenue Figures are not correct Perm and contract revenue are controlled by the status of the placement, pipeline is the value of open jobs (fee / profit), forecast is where a candidate is placed and confirmed but not started, actual is placement values for started placements within the date range of the dashboard.
CANDIDATE  
Unable to change a candidates status Whilst a candidate is in the offer process then there status is fixed, once he is withdrawn or completed the contract then the candidate status field can be manually changed. For Placed By Us or Working For Us statuses you can adjust their statuses to Placed but Looking or Working but Looking, all other statuses will not be available unless you Finish the candidate in their current placement(s)
I am unable to see the Tools (ribbon bar) Depending on your screen resolution and the items you have pinned to the left and / or right hand side of the screen will dictate if the system will have adequate room to display the ribbon bar. If it is unable it will place a Tools button on screen and allow you to access the Tools. Infinity allows you to unpin / auto hide the "My Infinity" and "Favourites" panels giving you extra room on the left hand side
I am unable to preview the CV In some instances you may find the CV preview is lost, particularly if you move the panel around regularly, if you go to user options and within the Display tab you can Reset CV Preview Panel
CV keeps previewing when opening a record Within your user options \ General you should un-tick Pop out CV
Unable to attach a document When adding a CV / attachment / photo / notes into Infinity, you are prevented if the file is too big, the warning message will alert you to the maximum size you can attach into Infinity

How do I edit a PDF CV

How do I insert CV Builder into PDF CVs

Within the user options you can set PDF CVs to open in Word (Word 2013 or later), this will enable you to open the CV in Word and then save in Word. Once saved in Word then you can insert CV Builder
I am missing information within candidate records / Candidate record looks different to my colleagues

You will find Infinity may look different from one user to another, this will usually relate to either:

1. Screen resolution - Infinity will reduce the size of parts of a record depending on the screen resolution available, this can be further affected by the magnification settings as well.

2. Docking tabs within candidate records - you can pin right hand tabs, like the preview CV, but this will cut down the size of the candidate record

3. User Options allow you to select which tabs in a candidate record should be displayed, ensure you tick appropriate tabs required

4. Users can make themselves a Temp User or add Temp buttons within candidate records, these Temp buttons are displayed in candidate records only for those who have this enabled.

5. The main ribbon bar and buttons can be minimised and make the buttons much smaller

COMPANY  
Unable to add a contact Contacts can only be added to a Company once locations have been added, if there are multiple locations then ensure you select the appropriate location prior to adding the contact to the Company
EMAIL  
I am unable to email a particular candidate or contact

Does the candidate have an email address

If using a mail shot template then ensure the candidate is ticked "OK to mail"

EVENT LOGGING  
When trying to log a call I am unable to select the logbutton Infinity requires that the person, company, location or contact you are logging the call against has a telephone number recorded on the system
The Add Event button is greyed out

Ensure that you are editing the record, if you see a red key in the Edit box then hover on this button and identify which colleague is currently in this record

If you are editing the record, then ensure you have saved the record

I wish to log events against multiple records in one action Select multiple entries within a list or shortlist (using control or shift keys) and click on event logger, this will bring all entities into the event logger
INTERVIEWS  
I am unable to log the result of the Interview The interview cannot be resolved until it is confirmed and the time and date of the interview has passed
Unable to add a second Interview Ensure the first interview has been resolved, successful if you require to add a second interview record
USER OPTIONS  
When I select to view the Company or Team dashboard it only shows my dashboard Only users with the appropriate permissions setup can view the Company or Team dashboards
JOB  
I am unable to find the Job Title I require in the drop down list The Job Titles available are required within the Job Titles Dictionary
I am trying to add a Temp job but only some job titles are available For Temp jobs the job title will need to be ticked as a Temp Job within the job title dictionary. Also if you have setup some rates within the Company, you will need to add this job title to the Company rates grid to then be available for any Temp jobs for this Company
PLACEMENT  
How do i extend a booking Edit the End Date of the placement record
How do I change rates Within the placement record click on the eye (show all) in the rates area, you are then able to click on the Rate Change
SHORTLIST / LIST  
When Reviewing a list or shortlist the Candidate Record doesn't Show or the Preview CV is blank

Within the Shortlist / List toolbar there is a Review Shortlist Options. You are able to enable or disable the previewing of the candidate and/or the CV

Is want to change how my Review List / Shortlist displays the Candidate Record

Within your User Options you are able to select how the Reviews are displayed, see User Options

I wish to quickly add candidates to my shortlist You must use the select checkbox to highlight / select the entries prior to accepting them into the shortlist or list. However you can utilise shift and control keys to select in bulk also you can right click on the select checkbox giving you options to select top 50 etc...
CALL BACKS  
I have created a call back for a colleague but need to edit it but it says I do not have permission Each user can set the permission levels for their colleagues; within the call back menu there is a permission button in which you can set the access rights for users
I am logging calls but it is not removing the call backs set When reviewing your call backs use the Call button and this will show an additional option to Complete call back, see managing call backs walkthrough
VIDEO'S  
Unable to play video or nothing happens when clicking on image Every effort has been made to ensure the video's are compatible with all browser versions, unfortunately some may have security settings that conflict with launching a video within the webhelp. We would recommend using Firefox or Chrome. Alternatively click here to email a request for links and passwords for videos
FIND  
Find returns too many records limited to 250 records in the find screen, input more details into a field to reduce the number of records being found
I just want to view Interviews this week Utilising the information boards will show you a calendar for interviews, use the arrows to cycle week to week
OTHER  
Clicking on email address does not open an Outlook message, even though you have set "Windows MailTo" in my user options Setting Windows MailTo will ensure that the email address is passed to your default Mail app, this is usually set to Outlook but in some cases it may be set to an alternative mail app, like "Windows Mail". To correct the default app you will need to review your default apps within Windows. Click on Start and type "Default Apps" to access the appropriate area within settings. Scroll to Mail and select Outlook from the dropdown.
I am unable to "Post to ICapture" from Outlook

To post to iCapture from Outlook you will need to have the Infinity Connector Add-in installed, this is usually installed as part of the Infinity installation. If you have made any changes to your Outlook app, you will need to uninstall Infinity and reinstall to ensure the Outlook Add-in and Word Add-in are installed correctly.

You can view you Outlook / Word Add-ins via File \ Options, within Options there is a dedicated Add-ins section where you can review Add-ins available, which are active, inactive and disabled. Even if the Add-in is displaying as active, click on Go button to check the Connector is ticked.

If the Connector is displaying as disabled then you will need to use the dropdown next to the Go button, changing it to Disabled and click Go. You should be able to see the add-in, select and click enable button. See above to then activate the Add-in.

Restarting Outlook will ensure changes are implemented. If problems persist please contact our Support engineers.

Buttons on the Infinity tab are not working

This is generally a sign that the Add-in has failed to load correctly, close Word and Infinity and restart. Access Word via Comms Centre or CV and check if buttons are now functioning.

If problem persists we would recommend you uninstall Infinity and reinstall, during the Infinity installation it installs the Add-in into Word and Outlook, ensuring the Add-in is the latest version.

If the problem persists further then please contact your IT to complete an Office repair, Office includes an ability to scan trough the program files and repair an erroneous file(s).

Reports - no reports showing Reports are stored within folders but unless you are given permission to access them they will not display at all. Even as a DBManager you will need to be given permission to access a report folder, then you can access all the reports within that folder.
Report not showing in My Infinity Scheduled Reports

When running a report on SaaS they are 'booked' in and will display within My Infinity. Note that if you access the Scheduled reports section it will display all previous reports, you can click on refresh until the new report has run. If the report still is not displayed then check that you set the report to run for you.

NOTE:- If you book a report for another user, you will only be able to run it for those who have permission to run that report themselves.

SHIFT PLANNER  
Missing jobs in the planner The shift planner is controlled by the search criteria tab (left hand side of the planner), click on Run Search to refresh the parameters in place. Also note that user option is for job owner, so if you have jobs without an owner ensure you have removed consultants from the dropdown (select all twice will remove or click on X.
