What have we released?

  • Infinity 5.1 has been released

Release overview

Here’s a snapshot of what we’ve delivered in this release:

  • Leads - convert work history and referees to leads
  • AWR – candidates working on a different job for the same company are not assigned to an AWR Clock automatically
  • Working Time Directive – cap the number of temp hours worked in a single week
  • Candidate Portal – minor enhancements

Enhancements

Enhancement 131080/131166 Convert a referee to a lead

The user can convert a referee to a lead in the candidate page referee screen.

This is available for employer and personal referees if they are not already linked to a contact or a lead.

User is prompted to optionally enter a lead description, source and tags for the new lead.

The following fields are populated:

  • forename
  • Surname
  • job title
  • company
  • phone
  • mobile
  • email
  • If employer referee the address fields are populated
  • consultant (user who created the lead)
  • created date / by
  • the status defaults to New

An info event is logged to say it was converted by that user and shows on the lead and candidate page.

The event logged has an action of Link Created and shows the details of what was converted.

The candidate referee grid has a new column to show whether the record has been converted to a lead.A screenshot of a computer

If the lead is deleted, the lead icon no longer shows and is no longer linked.

Enhancement 131081/131167 Convert a work history line manager to a lead

The User can convert a candidate work history line manager to a lead in the candidate page current employment / work history screen.

This is available if not already linked to a contact or a lead and it’s not a linked contact work history entry.

User is prompted to optionally enter a lead description, source and tags for the new lead.

The following fields are populated:

  • The line manager name is split into.  This is done by first word and then following words
  • forename
  • Surname
  • company
  • Location address
  • consultant (user who created the lead)
  • created date / by 
  • the status defaults to New

An info event is logged to say it was converted by that user and shows on the lead and candidate page.

The event logged has an action of Link Created and shows the details of what was converted.

The current employment / work history grid has a new column to show whether the record has been converted to a lead.

Enhancement 131045 Quick Find uses forename options from Advanced Find

In Candidates, Contacts and Candidates or Contacts Quick Find, the first word entered in the criteria is searched for using the user's Forename Find options in Advanced Find.

Enhancement 131046 Read only review mode displays up to 10 events

In candidate read-only review mode, the left-hand side data sheet shows up to 10 events.

Enhancement 131021 AWR change to candidates working on different jobs at same company

Candidates working on multiple placements for the same company, but with different job titles and less than a 6-week gap functionality:

  • When AWR is enabled for the first time and Infinity calculates existing placement and work history data, these are included in the same AWR clock.
  • If AWR is enabled already, existing AWR clocks are not changed
  • For new AWR data added (placements and work history), where an AWR Clock already exists, these entries must be assigned to an AWR Clock manually.  It is for the user to decide whether the jobs are substantially different or not.

Users are notified of these new entries in a new menu/link called ‘Requires assigning to an AWR Clock’ in the AWR section of the Application menu and My Infinity.

The application menu lists all the entries regardless of owning consultant.

The AWR section of My Infinity list entries for users who are owners of the records.

  • shows placements where the My Infinity user is an owner of the placement
  • shows work history entries where the My Infinity user is an owner of the candidate

When the lists are launched, a grid is displayed with the entries.

The grid is ordered by latest updated at the top - i.e. when the placement or work history was last updated.

There is a button on the toolbar to add the selected placement or work history entry to an existing AWR clock.

  • This is available when a single entry is selected
  • Only valid AWR Clocks are listed for that company/subsidiary/candidate, e.g. there is not more than a 6-week gap between the placement being added to the end date of the last placement in that AWR Clock.A screenshot of a computer

  • When an AWR Clock is selected:
  • the placement / work history is added to it
  • the AWR clock number of weeks is recalculated overnight, and user is informed

  • the user can change the ‘AWR Checked?’ tick box on the clock if required
  • the placement / work history entry is removed from the list in My Infinity / Apps menu
  • If placement is added, an info event is logged on the placement for the user
  • If work history is added an info event is logged on the candidate for the user
  • The event logged has an action of “AWR Clock Changed”, shows the details of what was changed and cannot be deleted.

There is a button on the toolbar to create the selected placement in a new AWR clock.

  • This is available for single placement entries selected only
  • User can choose to create it in its own AWR Clock
  • When selected:
  • the placement is added
  • the AWR clock is created, the number of weeks calculated overnight and user informed
  • the placement is removed from the list
  • info event is logged on the placement for the user
  • The event logged has an action of “AWR Clock Created”, shows the details of what was added and cannot be deleted.

There is a button on the toolbar to remove the work history notification.

  • This is available for Work History entries only
  • If the user does not want to assign it a clock, they can remove the notification
  • It will disappear from the list
  • If the work history entry is edited in the future, it may be identified again and reappear in “Requires assigning to an AWR Clock” list
  • Info event is logged on the candidate for the user
  • The event logged has an action of “AWR Notification Removed”, shows the details of what was removed and cannot be deleted.

The toolbar also has ‘Refresh’ and ‘Review Mode’ functionality.

  • Refresh - refreshes the list with latest data available
  • Review Mode - available on placements only to review in full page mode

Enhancement 131069 AWR remove placement / work history entries from an AWR Clock

On all AWR grid menus a button is available on the toolbar to remove the selected placement or work history entry from the AWR Clock.

This is in the following places in Infinity:

  • My Infinity AWR 10-12 weeks and over 12 weeks
  • On Apps / AWR 10-12 weeks and over 12 weeks 
  • Candidate page AWR tab
  • Placement page AWR tab

When a single placement or work history entry is selected, a button on the toolbar is available to removed it from that AWR Clock

  • If removed, the placement / work history goes to ‘Requires assigning to an AWR Clock’ list.
  • If the entry removed was the only record, the clock is deleted, otherwise the AWR clock no of weeks is calculated overnight and user informed
  • An info event is logged to say it was removed from that AWR Clock by that user.
  • if placement, the event is logged against placement
  • if work history, the event is logged against candidate
  • The event logged has an action of “AWR Clock Changed” and shows the details of what was removed. The system event cannot be deleted.

  • The AWR Clock that it was removed from is recalculated overnight and user informed.

Enhancement 130748 New user password email process change

New Infinity users logging in for the first time via the "Welcome to Infinity" email hyperlink are sent a temporary password email if the "User cannot change password" option is set against their account, and they can then change their password once.

New Infinity users logging in for the first time directly can click on the "I'm a New User/Forgotten Password" button if the "User cannot change password" option is set against their account. They are sent the temporary password email and can then change their password once.

Infinity users with the “User cannot change password” option set cannot change their passwords in their User Profile screen.

Enhancement 131027 Integrated Data Services new permission

There is a new action permission to use Integrated Data Services.

This is on as default, upon upgrade and for new databases, for the Infinity Administrators security role only.

Only users with this permission can click on the following buttons to use the service:

  • Leads List - Quick Search and Connect Lead
  • Company Advanced Find – Quick Search
  • Company Create – Quick Search
  • Company Page - Connect / Update Company

Users who do not have the permission can still see the button, but it is greyed out.  There is a tooltip or info button saying they do not have permission.

Enhancement 130973 TalentGraph – country field added to search

In the TalentGraph search screens (global and re:job), a ‘Country’ field has been added next to the free text ‘Location’ lookup field and is enabled when that radio button is selected.

  • Specifying a country returns better targeted results when the lookup of the location name is done.
  • For new searches, this defaults to the Administration/ General Settings / Main Pages tab ‘Default Country’ setting.
  • For saved searches this defaults to blank, so it works as per current functionality

Enhancement 131036 Object permission greyed out

Object permissions in Administration / Permissions / Permissions tab are greyed out for all non-Voyager Support account(s) as they can no longer be edited.

Enhancement 130758 Driving expiry blanked upon upgrade if no categories

On databases with ‘Driving’ enabled, when an upgrade is run, the licence expiry date is blanked for candidates with no driving licence categories. This is in line with the manual process of removing driving licence categories.

Enhancement 131022 Cap the number of temp hours worked in a single week

Global

In Administration / Global Temp Settings / Regulations tab, there is a new setting to 'Cap the number of working hours in a single week'.

This is off as default. When enabled, the number of hours can be configured by the administrator and will default to 60.

There is an adjacent ‘Info’ button explaining the regulation.

Per Job Title

In Administration / Global Temp Settings / Job Titles tab, the regulation section has a new option to override the global setting to ‘Cap the number of working hours in a single week’ for the selected job title.

Temp Compliance Check

The existing temp compliance check called ‘Regulations passed’, if set to warn/prevent, will check the ‘Cap the number of working hours in a single week setting’ if enabled.

When a temp candidate is placed, Infinity will check whether the working hours in each week that the shifts cover are below the capped number (see calculation below for working hours).  If the check fails, the user is informed of the week periods and what the hours were for each.

Calculation for weekly working hours

A+B+C

A = Total Selected Hours in each week - this is the shifts selected by the user for candidate to be placed on

B = Total CN Shift Hours in each week - this is as per the Candidate Working Hours screen – this could be Timesheet Shift Hours or Shift Hours

C =Total CN Other Work Hours in each week- this is as per the Candidate Working Hours screen – this could be Timesheet Other Work Hours or Work Hours

Administration / Global Temp Settings / Regulation tab setting ‘First Day of Week’ is used to define the week periods - e.g. Sunday to Saturday

Enhancement 131181 WTD - Maximum Weekly Working Hours tooltip updated

The tooltip has been updated on the Working Time Directive Maximum Weekly Working Hours regulation.

Enhancement 131164 Shift Planner tooltip updated with distance searching

The tooltip has been updated on Shift Planner / Candidate Search results panel to include distance searching.

Enhancement 131054 Candidate Portal: ‘Last Contacted’ added to the Onboarding Grid

The onboarding grid from the Application Menu and from My Infinity, has a ‘Last Contacted’ column added.

This shows the ‘Last Contacted’ field as it appears on the Candidate page.

Enhancement 131139 Candidate Portal: Quick Step to send an email when all documents have been verified

When the last document is verified, the Quick Step will run.

Enhancement 131153 Onboarding grid can autoload when Infinity is run

The User Option/General/Startup tab has an ‘Onboarding’ option available in the drop down, if the database is enabled for the candidate portal.
